 Job Description

Summary: This position is responsible for assisting the Property Management & Engineering staff in all aspects of the management, maintenance and physical operations for all properties within the real estate portfolio.

Essential Duties and Responsibilities include the following.

The responsibilities of this position include the following areas, but are not limited to the following:

Maintenance & Repair:
Including but not limited to, HVAC, fire protection, plumbing, landscaping, roofing, janitorial, etc.

1.Maintain current certificate of insurance for vendors and update vendor information on contact list.
2.Review & code all invoices for all properties
3.Input purchase orders in Prologue for management approval
4.Assist in the preparation of annual operating budgets for all properties
5.Utilize Work order system to assist in the coordination of service work with building personnel, tenants, engineers, day porters & service providers.
6.Perform site visits and inspections of all assigned locations
Real Estate Portfolio:
1.Prepare lease abstracts for all assigned properties
2.Prepare & maintain property portfolio reports
3.Update Real Estate Database with current property and branch contact information
4.Maintain relationships with Branch staff to establish excellent customer service
5.Prepare & monitor monthly tenant billing for rent & tenant work requests
6.Review all rent statements.
Capital Improvements:
1.Assist with preparation of annual capital budget
2.Assist with obtaining of certificate of insurance for project contractors.
3.Assist with preparation of project directories
4.Assist with tracking of project budgets
General Administration:
1.Maintain Equipment and Preventive Maintenance information for assigned area in Work Order System
2.Maintain and Update Branch information for assigned area in Work Order System
3.Organize and Maintain departmental records for all properties, including Leases, service contracts, certificate of insurance, appraisals, real estate tax information, etc.

Comply with all applicable federal and state laws and regulations.

Education/Experience:
Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

Language Ability:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Math Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Reasoning Ability:
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Computer Skills:
Knowledge of Word & Excel is required and knowledge of Access is preferred.

Certificates and Licenses:
No certifications needed.
